Before Your Planning Appointment
You do not need to plan the vacation before meeting with us. You do need to bring enough accurate information for your advisor to understand the travelers, research realistic choices, and guide the next steps.

You may still have decisions to make. These basics give your advisor a reliable starting point.

Traveler Information
Full legal names, birthdates, and the number of adults and children traveling.

Contact Information
Current phone number, email, mailing address, and preferred contact method for each adult traveler.

Passport Status
Whether each traveler has a passport, the name shown, expiration date, and whether renewal may be needed.

Rooming Plans
Who will share, bedding preferences, single rooms, connecting rooms, and other important accommodation needs.

Travel Preferences
What your travelers love to do, preferred pace, previous favorites, dislikes, and must-have experiences.

Dates and Departure
Preferred dates, possible alternatives, trip length, and the airport or local departure area.
For a group, the group leader may begin the conversation, but individual traveler information and confirmed rooming arrangements will still be required before reservations are completed.

Your Privacy Matters
We do not need your complete medical history. Share only the information that may affect planning or supplier requests. Do not send passport images, medical records, or sensitive information through ordinary text messages or unsecured email. We will tell you when information is needed and how it should be provided.

Budget Directs the Research
A comfortable total range helps your advisor determine whether your destination, dates, accommodations, transportation, and expectations work together.
Consider whether your range should include airfare, hotels, cruise or tour costs, taxes, transfers, activities, meals, gratuities, professional service fees, and personal spending.
Sharing a budget does not mean we automatically spend the full amount. It helps us focus on realistic options and avoid researching trips that do not fit your needs.
